The Facilities Maintenance Manager is a senior leader within the Facilities Management Division of Ethan Conrad Properties. This role is responsible for directing daily maintenance operations across a multi-property commercial real estate portfolio, ensuring safe, efficient, and high-quality building upkeep. The Facilities Maintenance Manager supervises a team of maintenance technicians and works closely with Property Managers, vendors, and senior leadership to prioritize tasks, execute maintenance programs, and deliver consistent service across properties. This position requires a skilled professional with strong supervisory experience, technical expertise, and the ability to balance operational needs with long-term facilities strategies.
Requirements:
Essential Functions include:
Leadership & Team Development : Supervise and mentor maintenance technicians; oversee staffing levels, onboarding, and training programs; evaluate performance and administer corrective action when needed; ensure compliance with company policies, OSHA standards, and safety regulations.
Work Order Oversight: Review, prioritize, and assign work orders submitted by Property Managers; establish service-level expectations and monitor completion rates; balance workloads across technicians and sites to maximize efficiency. Ensure that properties are billed at Fair Market Value rates.
Maintenance Operations Oversight: Direct and coordinate general building maintenance activities, including: o Light electrical, plumbing, and mechanical repairs
- General cleaning and upkeep of shared and exterior spaces
- Door, lock, and hardware adjustments and repairs
- Property and safety inspections to identify deficiencies or hazards
Compliance, Safety & Documentation: Ensure maintenance activities meet code requirements, OSHA standards, and company safety policies; maintain accurate documentation of work orders, inspections, and safety reports; track recurring issues and recommend corrective action.
Cross-Departmental Coordination: Serve as a key liaison between Facilities Management and Property Management; communicate project updates to leadership; coordinate tenant access, scheduling, and disruption mitigation; collaborate with vendors and contractors for specialized services.
Maintenance Operations:
- Perform and supervise general building maintenance, including:
- Light electrical (e.g., replacing fixtures, outlets, switches)
- Light plumbing (e.g., repairing leaks, clearing clogs, replacing fixtures)
- General cleaning of common areas and exteriors
- Repair and adjustment of doors and door hardware
- Conduct periodic inspections of properties to identify deficiencies or needed maintenance.
- Perform and document regular safety inspections to ensure code and policy compliance.
Compliance & Documentation:
- Maintain accurate records of maintenance activity through completed work orders.
- Track, approve and optimize employee overtime hours.
- Ensure all maintenance tasks are performed in accordance with company safety policies and applicable codes.
- Must possess a Valid California Driver’s License and maintain an acceptable driving record that meets company insurability standards.
Knowledge, Skills, Abilities:
- Strong knowledge of facility maintenance planning, scheduling, and execution.
- Proven leadership experience supervising multi-site maintenance teams.
- Proficiency in:
- Yardi work order systems for dispatch, tracking, and documentation
- Microsoft Excel (tracking, reporting, logs)
- Microsoft Word (documentation, reports)
- Microsoft Outlook (communication, scheduling)
- Paylocity (timecards, performance tracking, evaluations, vacation approvals)
- Skilled in diagnosing and coordinating repairs across multiple trades (light electrical, plumbing, general building systems).
- Knowledge of occupational hazards, safety precautions, and OSHA compliance.
- Excellent communication and interpersonal skills, with the ability to build positive working relationships.
- Strong organizational skills with ability to prioritize, delegate, and follow through effectively.
- Ability to adapt to changing needs and problem-solve in dynamic environments.
Required:
- High school diploma or equivalent required; technical or trade school preferred.
- Minimum of 8 years of experience in building maintenance, with 5+ years in supervisory capacity.
- Strong working knowledge of light electrical, plumbing, cleaning, and door hardware maintenance.
- Experience in commercial real estate or managing multiple sites.
- Proven leadership and team-building skills.
- Ability to manage priorities, multitask, and problem-solve in a dynamic environment.
- Strong communication and organizational skills.
- Familiarity with digital work order systems and basic reporting tools.
- Must possess a Valid California Driver’s License and maintain an acceptable driving record that meets company insurability standards.
Preferred:
- OSHA 10/30 certification or equivalent safety training.
